Use this Tool to:

Assess and enhance the productivity and effectiveness of your school's collaborative meetings.

Pre-Meeting Prep:

  • Review the Collaborative Meeting Checklist to understand the key elements for the meeting and prepare accordingly.
  • Prepare necessary materials, distribute agenda, assign roles, communicate meeting goals (as per checklist)

Suggested Timing:

10-15 minutes

Steps:

1. As a meeting facilitator, use the checklist to evaluate the effectiveness of team meetings. Reflect on the each meeting with the checklist in hand to ensure all key elements are considered.

2. Distribute the checklist to other key facilitators in your school, such as those leading meetings regularly in the school (ie. School Development, Teching and Learning Teams, Service Delivery Team, Departments, Committees, etc) This promotes a consistent approach to productive and focused meetings across the school.

3. Keep in mind that bringing people together is an opportunity for collaboration and meaningful dialogue, rather than sharing information that could be easily communicated via email. It's important everyone feels like they are included and their time is valued.

Additional Notes:

Use the checklist as a flexible guide; not all elements may apply to every meeting. Adapt as needed to fit specific meeting contexts and goals. The purpose is not to "check every box" but to decide with intentionality what might or might not be included.
